The EA Institute APAC Admin Awards Terms and Conditions 2027

These Terms and Conditions ("Terms") apply to all nominations submitted for the APAC Admin Awards ("Awards") facilitated by The EA Institute Pty Ltd ("Organiser"). By submitting a nomination, nominators and nominees ("Entrants") agree to be bound by the following:
Awards Terms & Conditions
1. Eligibility
1.1 Entry is open to individuals aged 18 years and over who are legal residents of Australia or within the APAC region and employed in an administrative, executive support, or office professional role.
1.2 Employees of The EA Institute and individuals directly involved in judging or administering the Awards are not eligible to enter.
2. Entry Process
2.1 Nominations must be submitted via the official online entry form by 11:59 pm AEST on 4 September 2026.
2.2 All required fields must be completed in full. Incomplete, illegible, or late entries may be deemed invalid at the sole discretion of the Organiser.
2.3 Self-nominations and third-party nominations are accepted.
3. Judging and Selection
3.1 All valid nominations will be reviewed and assessed by a panel of judges appointed by the Organiser.
3.2 Judging criteria will be determined by the Organiser and may include leadership, initiative, performance, and impact.
3.3 The Organiser reserves the right to verify the eligibility and authenticity of nominations.
3.4 All judging decisions are final and no correspondence will be entered into.
4. Awards and Prizes
4.1 Winners will be announced at the APAC Admin Awards event on 11 March 2027 and/or via email and social media.
4.2 Prizes or recognition awarded are not exchangeable, transferable or redeemable for cash unless otherwise stated.
4.3 The Organiser accepts no liability for any variation in prize value or availability.
5. Publicity and Consent
5.1 By entering, Entrants consent to the Organiser using their name, photograph, nomination details and likeness for promotional and media purposes relating to the Awards, including on websites, social media, print, and event materials. Where a person is nominated by a third party, the Organiser may contact the nominee to confirm details before publication.
5.2 Entrants agree that any materials submitted may be edited or adapted for use by the Organiser at its discretion.
6. Privacy
6.1 All personal information collected will be handled in accordance with the Privacy Act 1988 (Cth) and the Organiser's Privacy Policy.
6.2 Entrants may request access to or correction of their personal information by contacting info@theeainstitute.com.au.
7. Disqualification and Withdrawal
7.1 The Organiser reserves the right to disqualify any Entrant who it reasonably believes has breached these Terms, provided false information, or engaged in unlawful or improper conduct.
7.2 The Organiser may remove or withdraw an award at any time if later evidence suggests misconduct or ineligibility.
8. Liability and Indemnity
8.1 To the extent permitted by law, the Organiser is not liable for any loss, damage or injury suffered as a result of participation in the Awards or acceptance of any prize.
8.2 Entrants agree to release and indemnify the Organiser from any claims arising from their participation in the Awards.
9. General
9.1 The Organiser reserves the right to amend these Terms or cancel the Awards at any time without notice.
Ticket Terms & Conditions
1. Booking Confirmation
1.1 Your event ticket is confirmed only once full payment has been received and a confirmation email has been issued by The EA Institute.
1.2 This ticket provides event admission only. No accommodation or additional services are included unless specifically outlined.
2. Event Access
2.1 Tickets grant entry to the APAC Admin Awards 2027 event on 11 March 2027.
2.2 You must present a valid ticket (digital or printed) for entry.
2.3 The EA Institute reserves the right to refuse entry for safety, security, or venue policy reasons.
3. Inclusions & Exclusions
Included:
- Admission to the APAC Admin Awards 2027 event
Not included:
- Accommodation
- Transport
- Parking fees
- Incidentals or personal expenses
4. Cancellation & Refund Policy
4.1 All ticket sales are final and non-refundable.
4.2 No-shows forfeit the full ticket price.
4.3 If the event is cancelled or rescheduled, a full refund of the ticket price will be issued.
4.4 Refunds (if applicable) will be processed within 14 business days of cancellation notice.
4.5 The EA Institute is not responsible for additional costs incurred (travel, accommodation, etc.).
5. Transferability
5.1 Name changes must be submitted to The EA Institute in writing at least 7 days before the event date.
6. Liability & Responsibilities
6.1 Attendees are responsible for their own safety and personal belongings.
6.2 The EA Institute and event venue accept no liability for loss, damage, or theft of personal property.
6.3 Attendees must comply with all venue policies, staff instructions, and safety requirements.
7. Payment & Pricing
7.1 All prices are listed in AUD.
7.2 Prices include GST where applicable.
7.3 Credit card surcharges and booking fees may apply.
8. Special Requirements
8.1 Dietary and accessibility requirements can be submitted during registration. While reasonable efforts will be made to accommodate requests, they cannot be guaranteed.
9. Force Majeure
9.1 The EA Institute is not liable for any changes, delays, or cancellations due to events beyond reasonable control (e.g., natural disasters, pandemic restrictions, government actions, travel disruptions).
10. Data Protection & Privacy
10.1 By purchasing a ticket, you acknowledge that your personal information may be used by The EA Institute and shared with relevant Awards partners for event administration purposes. Marketing communications, news, updates, and offers will only be sent where permitted by law. Information will be handled in accordance with applicable privacy laws.
11. Agreement
11.1 By purchasing an event-only ticket, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
Accommodation Booking Terms & Conditions
1. Booking Confirmation
1.1 This ticket includes one (1) night's accommodation only at Sofitel Sydney Wentworth.
1.2 Booking is confirmed only upon receipt of full payment and issuance of payment confirmation (issued by The EA Institute).
2. Intermediary Arrangement
2.1 We will pass your booking details directly to the hotel to secure your reservation.
2.2 Once your booking is confirmed, all subsequent queries, changes, or requests regarding your accommodation must be directed to the hotel.
2.3 Room allocation is subject to availability at time of booking.
2.4 Specific room requests (e.g., twin/double, floor preference) cannot be guaranteed.
2.5 The hotel is solely responsible for the provision of accommodation services.
2.6 Any issues arising during your stay should be addressed directly with hotel management.
2.7 The EA Institute is not liable for any matters relating to the quality, suitability, or provision of hotel services.
3. Check-In / Check-Out
3.1 Standard check-in time: 3:00 PM
3.2 Standard check-out time: 11:00 AM
3.3 Valid photo identification and credit card required at check-in for incidentals.
3.4 Early check-in and late check-out are subject to availability, may incur additional charges, and must be discussed directly with the hotel.
4. Inclusions & Exclusions
Included:
- One night's accommodation (Classic Room)
- Check-in: 11 March 2027
- Check-out: 12 March 2027
Not included:
- Breakfast (can be added for an additional fee by contacting the hotel)
- Additional nights' accommodation
- Incidentals (minibar, room service, telephone, laundry, etc.)
- Parking fees (unless specified)
- Travel insurance
5. Cancellation & Refund Policy
5.1 All sales are final and non-refundable.
5.2 No-shows forfeit full payment.
5.3 In the unlikely scenario where the APAC Admin Awards is cancelled or rescheduled, a full refund of accommodation booking fees will be provided.
5.4 Refunds will be processed within 14 business days of cancellation notification.
5.5 The EA Institute is not responsible for any additional costs incurred (flights, other accommodation, etc.).
6. Transferability
6.1 Bookings are transferable with written notice to the hotel and notification to The EA Institute.
6.2 Name changes must be notified at least 7 days before check-in.
7. Liability & Responsibilities
7.1 Guests are responsible for any damage to hotel property during their stay.
7.2 Personal belongings are the sole responsibility of the guest.
7.3 The EA Institute and hotel accept no liability for loss, damage, or theft of personal property.
7.4 Guests must comply with all hotel policies and house rules.
8. Payment & Pricing
8.1 All prices are quoted in AUD.
8.2 Prices include GST where applicable.
8.3 Credit card surcharges may apply.
9. Special Requirements
9.1 Dietary requirements, accessibility needs, or other special requests must be notified directly to the hotel. While reasonable efforts will be made to accommodate requests, they cannot be guaranteed.
10. Force Majeure
10.1 The EA Institute is not liable for cancellation, delay, or changes caused by circumstances beyond its reasonable control, including but not limited to natural disasters, pandemic restrictions, government actions, or travel disruptions.
11. Data Protection and Governing Law
11.1 Personal information will be shared with the hotel for booking purposes and will be handled in accordance with applicable privacy laws. These terms and conditions operate in conjunction with the policies outlined by Sofitel Sydney Wentworth, including the General Terms and Conditions of Service and Privacy Policy.
11.2 These Terms are governed by the laws of Western Australia, Australia, unless otherwise required by applicable law.
